A room change may be needed because of safety, maintenance, accessibility, noise or cleanliness problems. Availability can be limited, so a clear and organized request usually works better than a general complaint.
Inspect before fully unpacking
Check the lock, balcony, bathroom, air conditioning, water, outlets and bedding shortly after arrival. Report urgent safety issues immediately.
Document the problem
- Take clear photos or a short video
- Record the time the issue was reported
- Note the employee or department contacted
- Keep written messages or complaint numbers
- Save receipts for necessary expenses
Ask for a specific remedy
Explain whether you need a quieter location, working air conditioning, an accessible room, separate beds or a room without a maintenance problem. Ask when a replacement can be inspected.
Inspect the replacement room
Do not move all luggage until the new room has been checked. Confirm that keys work and that the original room is properly closed before leaving it.
Escalate when necessary
If reception cannot resolve a serious issue, contact the hotel manager, tour operator representative or travel provider. Request written confirmation when the promised room category or essential service is unavailable.
